JOB SUMMARY:
Under the direct supervision of the Admin Manager, the position is responsible for managing all admin-related tasks and addresses all administrative issues and concerns that may arise from time to time.
DUTIES & RESPONSIBILITIES:
Administrative
Team Leader of the Messengers:
- Oversee schedules of the messengers and ensures that all messengerial requests are accommodated on-time.
- Checks and approves transportation expense and meal allowance of messengers
- Facilitate monthly meetings with the messengers to check on concerns and issues encountered daily.
Supplies Requisitions
- Monitors and prepares purchase requisitions of office supplies.
- Releases supply requirements every 6th and 21st of the month to concerned departments.
- Reminds the Admin Manager on coffee, milo, tissue, garbage bags, sugar, etc. to ensure sufficient allocation every month.
Fixed Assets Inventory
- Tags new items/equipment with Microbase sticker
- Monitors and updates the Fixed Assets database as needed
- Monitors and updates transfer of assets
- Conducts inventory of fixed assets every quarter
Business Cards Issuance
- Processes requests for business cards of employees and new hires
Office billings
- Prepares phone billing deduction reports and submits to payroll in-charge for salary deduction
- Collects vehicle receipts from drivers and messenger (motorized).
- Submits Shell billing with receipts to Accounting monthly
Office Management
- Maintains office equipment (lights, doorknobs, doors, etc.)
- Ensures cleanliness and orderliness of workstations and office premises.
- Keeper of all office duplicate keys; ensures to have a spare duplicate key for emergency purposes. This also includes keys for locker cabinets.
- Issues new lockers for selected employees.
Parking Slot Assignments
- Takes charge of new parking privilege
CCTV Projects Monitoring
- Monitors activities of the engineers assigned to all CCTV projects.
- Generates reports for expenses incurred for each project and ensures that all expenses are well accounted for.
- Contact suppliers for hardware supplies and requirements.
Others
- Performs other tasks that may be assigned from time to time.
JOB SPECIFICATIONS:
- Graduate of any 4-year course
- At least 6 months to 1-year experience in performing administrative functions
- Fresh graduates with exemplary scholastic records may be considered
- Computer literate with a good level of skill in Microsoft Word, Power Point, and Excel
- Good organizational skills, including the ability to prioritize, multi-task, meet deadlines and manage multiple tasks at once
- Attention to detail and commitment to accuracy
- Good interpersonal skills and ability to work effectively at all levels in a collaborative team environment
